Absence Cheat Sheet

Absence Management looks like the simplest module in the whole HCM suite right up until you have to explain why an employee’s balance is wrong. Then you’re suddenly deep in accrual matrices, carryover limits, vesting periods, and fast formulas, trying to figure out which rule quietly did the wrong thing. It’s a module where the depth is hidden until you need it. So here’s my Absence Management cheat sheet, free to download.

If you’re new to Oracle Cloud HCM and Absence is where you’re starting, this gives you the full flow before the complexity hits. Absence Type, Absence Plan, Eligibility Profile, Accrual Matrix, Enrollment, Run Accruals — the sixteen-step end-to-end flow lays out exactly how a leave type becomes a working balance an employee can actually use, so you’re not learning accrual logic and approval workflows at the same time, cold.

If you know other HCM modules well but Absence has always been the one you avoid, this gets you oriented fast. The advanced logic here — carryover rules, vesting, negative balances, proration, donation plans — has its own internal logic that doesn’t map cleanly from other modules. Asking someone to walk through how a negative balance rule or a vesting period actually behaves tells you a lot more. This gives you the advanced topics, the fast formula logic, and real troubleshooting scenarios (accrual not generated, balance incorrect, employee not eligible) to build questions that test real configuration experience.

And if you’re writing test cases or doing a gap analysis, this doubles as a checklist. Absence has more edge cases per square inch than most modules — proration for mid-period joiners, negative balance limits, certification requirements, donation plans.
